| Coming this Fall New Staff ID Cards
To all staff members:
This fall McGill is introducing a new ID card. A decision was taken to purchase a central security system with an ID card component. After much investigation the LENEL security system was selected. This system controls access to units and buildings equipped with LENEL proximity readers. The central LENEL database receives feeds from Banner Human Resources as well as Student Records. These feeds allow the LENEL system to identify a student or staff member's status at the university for security purposes.
The new ID card that is a by-product of the LENEL system supports proximity reader technologies. The new ID card also supports bar code and magnetic stripe encoding. All this will allow for advanced security and improved access to university buildings, labs and services.
As of September 2001, staff will be issued this new proximity ID card. These cards will perform two functions. They will allow you to access buildings and areas protected by proximity reader locks without carrying a separate card. The cards will also function in the same manner as your current ID card. They may be used in the libraries, gym or areas requiring a bar code for entry. You are encouraged to get a new card made as early as possible this fall as an increasing number of buildings and areas will have the proximity locks installed over the coming year.
The schedule for re-carding is as follows:
As of September 2001, staff will be issued the new proximity ID cards. The following is the schedule for re-carding of current staff.
September 17th to the 21st - 9:00 to 5:00 - McIntyre Medical Building, 6th floor - Faculty and staff from Medicine, Education and Law
September 24th onwards- 8:30 to 4:30 Monday and Wednesday. Friday 8:30 till 12:00 - permanent ID station open in the Department of Human Resources, 15th floor, 688 Sherbrooke St W.
What do you need to get a new card?
New employees: McGill pay stub and a government issued picture ID such as a Medicare card, driver's license passport or citizenship card.
Current staff: Your current ID card or picture ID such as a Medicare card, driver's license, passport or citizenship card.
Using your new ID card:
Your new ID card will include your new 9-digit McGill ID number. This number for most current employees will include your current person number as it appears on your pay stub, fronted by the numbers 15. A small number of persons who are currently students as well as staff will be issued their student number fronted by 11. New employees will be assigned a 9 digit sequential number through Banner.
Your new ID card will provide the same access as you current card with the added feature that it is also a proximity card.
7 digits or 9, which do I use?
Until January 1, 2002 you will need to use both your 7-digit ID number and your new expanded 9-digit number depending on the circumstance.
7 digits
Your 7 digit number is either the last 7 numbers of the ID card number if it begins with 15 OR your pay stub person number. If you are in doubt always refer to your pay stub for this number. Use this number for the Faculty Club, Pensions inquiries, ISIS, Maritime Life claims and travel expense reports. After January 1, 2002 this number will no longer be used at the university.
9 digits
Your 9-digit number should be used to access Banner or MINERVA WEB. After January 1, 2002 this will be the number used in all circumstances.
Proximity card access: Your new ID card should be taken to the person who controls access to the areas you require. This person will then transfer your access to use the new card.
Lost, damaged or stolen cards:
If you lose or damage your card, please report it as soon as possible to Human Resources as the ID card now functions as a key for door access. To replace the card, come to the Department of Human Resources on the 15th floor of 688 Sherbrooke St W. Monday and Wednesday 8:30 to 4:30 or Friday 8:30 till 12:00. You will be required to present a McGill pay stub and a government issued picture ID such as a Medicare card, driver's license, passport or citizenship card.
Student ID cards:
New students will receive the new ID card this September. Re-carding of returning students will begin January of 2002 according to a schedule that will be established by the Admissions and Registrar's Office.
