Change of Deadlines for Nomination of Examiners forms and Thesis Submissions
To staff dealing with Thesis Submissions,
In order to streamline the Thesis Examination Process, the Graduate and Postdoctoral Studies Office participated in a McGill 2000 Process Mapping session. The "timing" of the submission of the Nomination of Examiners Form was identified as the most problematic step in the Thesis Examination Process. About 42% of forms are ill-timed and for 35% of these ill-timed forms, the thesis was submitted three months or more after the expected date (see statistics at the end of this e-mail). Our office informed all departments of this problem some time ago and we had said that we would continue with the current process for one more year, to see if there would be a decrease of thesis submitted later than the expected date. We have continued with the current process for two years and there has not been any decrease in the number of thesis that are submitted late.
For this reason, we will be changing the procedures and deadline dates for submission of Nomination of Examiners Forms and theses. Beginning with the submissions for the Fall 2003 graduation, all students must submit the Nomination of Examiners Form at the same time as the thesis. In order to allow time for the Thesis Office staff to engage an external examiner for the thesis evaluation, the deadline dates to submit all forms and the thesis will be one month earlier for all graduations, except for the end of August deadline which will remain the same. Following are the deadline dates that students will be expected to submit the Nomination of Examiners Form with the Thesis for the graduations listed:
Fall 2003 Graduation:
Doctoral Thesis Submission - June 2, 2003 (Monday)
Masters Thesis Submission - June 16, 2003 (Monday)
August Submission Deadline:
Doctoral and Masters Theses - August 29, 2003 (Friday)
February 2004 Graduation:
Doctoral Thesis Submission - October 6, 2003 (Monday)
Masters Thesis Submission - October 20, 2003 (Monday)
Spring 2004 Graduation:
Doctoral Thesis Submission - February 2, 2004 (Monday)
Masters Thesis Submission - February 16, 2004 (Monday)
Please note that since the deadline dates have been moved back one month, it is very important that the Nomination of Examiners Forms are complete, accurate and legible (in particular, the External examiners' addresses, e-mails, telephone numbers), as incomplete or inaccurate information will delay the examination process.
The thesis submission guidelines will be updated to reflect these changes at the beginning of March. Please distribute this information to all students in Thesis programs. Thank you.
